🛟Make the situation safe
For an urgent medical or safety event, contact the appropriate local emergency service or reach suitable help first. Insurance authorization should not delay immediate care when waiting would be unsafe.
📞Call assistance as soon as practical
Give the policy number, location, contact details, and a clear summary. Ask what treatment, transport, provider, payment, report, or authorization steps the policy requires from that point.
📝Record names and instructions
Note the call time, case number, representative, and agreed next action. If possible, request written confirmation so the traveler, companion, provider, and insurer are working from the same information.
💳Prepare for different payment methods
Cashless or direct settlement may not be available for every provider or event. Ask what you may need to pay, which receipts are required, and whether approval is needed before additional treatment or travel.
📂Protect the evidence
Keep original invoices, itemized bills, prescriptions, reports, tickets, correspondence, and proof of payment. Photograph important documents and store a secure copy separately from the originals.
🔄Update the insurer when facts change
Tell assistance about admission, discharge, a new provider, changed transport, recovered baggage, supplier refunds, or revised travel plans. A documented update can prevent conflicting instructions later.
